Steel deck manufacturer
Ran the whole operation from a Google Sheet. Now orders, production, customers and reporting run through their own business admin operating system.
One system designed around how your business actually runs. It replaces the spreadsheets and the 4 to 6 tools that don't talk to each other, so work moves faster with fewer handoffs and less friction. Live in 4 to 12 weeks. On your hosting. Yours to keep.
20 minutes. We'll show you where the friction is in your business and whether one system can fix it. No pitch deck.
What one streamlined system replaces
Where the friction is
Most founders we speak to are running a growing company on a spreadsheet one person understands, plus a stack of subscriptions bought one problem at a time. Every gap between them costs time.
Where is that job actually up to?
The answer lives in someone's head, an inbox and a tab called FINAL v3.
Which quotes haven't been followed up?
Leads slip through because nothing reminds anyone, and nobody sees the whole pipeline.
Why are we paying for 14 seats?
Per-user pricing grows every time you hire, for features you half use.
Only Sarah knows how the sheet works.
When she's away, the business slows down. When she leaves, it stops.
We type the same thing in three places.
Tools that don't talk mean double entry, copy-paste errors and wasted hours every week.
What did we actually make last month?
Sales here, ad spend there, costs somewhere else. The real number takes days to find.
What streamlined actually means
stream·lined adj. / in business
Simplified, reorganised and improved so the work moves faster, uses fewer resources and gets the same result every time, with minimal friction.
Double entry, unnecessary steps and chasing people for updates disappear.
Before: the same details typed into three apps
Work flows from enquiry to invoice in one place, so nothing falls between people or tools.
Before: "I thought you sent that"
Every job follows the same flow, built into the screens. New staff get it on day one.
Before: five people, five ways of doing it
Follow-ups, reminders, reports and summaries handled by software and AI, with a person approving what matters.
Before: Friday afternoons lost to admin
The shift
For twenty years you bought a bit of software that did this and a bit that did that, then bent your business to fit them. Custom software meant a year of meetings and a six-figure dev shop quote. AI has changed that.
The old way
The streamlined way
Out of everything we see in AI, this is the single best use for most business owners. Your Business Operating System, as a Service. A window that has never existed before.
What we build
Every build is different, because every business is. Most include a combination of these.
Clients, contacts, history and notes, set up the way your team actually works.
Every job from enquiry to invoice, with clear status, owners and next actions.
Sales, ad spend, margins and cash on one screen. Shopify, Amazon, Xero and ads in one view.
Every lead captured and followed up, with calls booked straight into the diary.
Customers and team members see and update what they need, without emailing you.
Drafted follow-ups, summaries, itineraries and reports, with a person approving what goes out.
What changes
Some owners use a streamlined system to run leaner. Most use it so the team they already have gets far more done, and grows without adding headcount.
Businesses we've streamlined
SaaS tools removed or replaced in the average business we work with
saved every month on subscription fees alone
weeks from first call to running the business on it
Ran the whole operation from a Google Sheet. Now orders, production, customers and reporting run through their own business admin operating system.
One dashboard to run the business. Amazon, Shopify, ad spend and true profit on one screen, instead of five logins and a weekly spreadsheet.
A system for tracking every lead and booking calls straight in with the practices they serve. Nothing slips, and everyone can see the pipeline.
Moving from a spreadsheet to one place for client families, trips, suppliers, upcoming actions and commission owed, on desktop and phone.
Orange dashed figures are placeholders until each client confirms their numbers.
The saving is nice. It isn't the point. The real benefit is a system designed exactly around how your business flows. That has never been possible without a long, slow, expensive build. Now it is.
The ownership promise
From 7 years running an agency and 13 years coaching business owners, we've watched countless agencies and developers lock clients in. They host everything on their own servers, keep the code in their own accounts, and build it so nobody else can pick it up.
We treat you the way we'd want to be treated. This becomes your business operating system, so you need to own it. If you're not happy for any reason, you should be able to walk away and hand it to another developer who can pick it up and run with it. If you're technical, you might just develop it yourself from there.
Set up in your name. We help you do it quickly, easily and cheaply, usually for less than one of the subscriptions you'll cancel.
Every line of code lives in your account. You can see it, back it up and take it anywhere.
Clean structure and documentation, so another developer could take over without starting again.
Not because you're trapped. You stay because it keeps getting better.
Your three options
| Off-the-shelf SaaS | Traditional dev shop | Streamlined Business | |
|---|---|---|---|
| Fits your business | You adapt to their template | Yes, eventually | Designed around how you work |
| Time to live | Days, then months of workarounds | 6 to 12 months | 4 to 12 weeks |
| Cost | Per seat, forever, rising as you hire | Often six figures upfront | No big upfront build fee. A monthly investment, then low-cost support |
| Who owns it | The vendor | Often hosted in the agency's accounts | You, on your hosting and your GitHub |
| Changes | Join the feature-request queue | A new quote every time | Included in ongoing support |
| If you leave | Export what you can, lose the rest | Hard to hand over | Take everything. Any developer can pick it up |
How we streamline your business
Tell us a little about your business and where the friction is.
We understand how the business works and the problem you want solved. Honest answer on whether this fits.
We map your flow and agree what the system does, what it replaces and how fast we can pull it together.
You approve the design. We build the prototype. Your team uses it on real work and we refine it.
Guarantee appliesWe help you move across from the old tools, then support, fix and improve it as you grow.
The design guarantee
If you don't love it, you don't pay for month 2. You keep the design. You see exactly what your system will look like before any serious building starts, so the risk sits with us.

Who's behind it
Growth hacker. Marketer. Business coach. Founder of The Collective.
I started as an IT enterprise architect, then left corporate once my online business overtook my salary. I've been selling online since 2003, ran a direct-response marketing agency for 7 years, and founded The Collective, Australia's highest-level business, investing and AI mastermind, in 2015.
We don't just sell streamlining. We run on it. In the travel companies I'm a partner in, we went AI-first, built our own systems for each brand and replaced tools like Monday and Klaviyo. We went from around 50 staff to around 10, and the businesses run better.
Now Karl, our lead developer, and our build team do the same for founders like you. I stay close to every build, because the system is only as good as the thinking behind it.
Is this for you?
Founding Client offer
To launch, our first five clients get a bonus worth more than the software: three months inside The Collective Mastermind, including a seat on our Yacht Mastermind on the Gold Coast.
Sign by 14 November to make the 3 December yacht:
This is the exact yacht we're on in early December. Party and hang out with business owners and entrepreneurs who are building, investing and using AI. Raise your peer group.
Questions we always get
Twenty minutes on Zoom. You walk us through how the business runs today and where it gets stuck. We tell you where the biggest friction is, what a streamlined system could replace, and whether we're the right fit. If we're not, we'll say so.
It depends on what your business needs, so we never guess on a web page. There's no big upfront build fee. You make one monthly investment while we build, then a low-cost monthly fee for support and changes. You'll get an exact number after the call, before you commit to anything. For most clients the subscriptions they cancel cover a good part of it.
As little as 4 weeks for a focused system. Up to 12 weeks for a very complex business with lots of moving parts. We agree the timeline in week one.
Yes. It runs on your hosting and the code lives in your GitHub from day one. If you ever want to leave, you take everything with you and nothing switches off.
You hold the code, the hosting and the data, so nothing about your system depends on us. We build it cleanly and document it so another developer could pick it up and keep going. We'd rather earn your business every month than trap you.
AI speeds up the building. Experienced developers design the structure, review the code, set user permissions, and handle backups and security updates. You approve the design, and your team tests a working prototype on real work before you switch over.
Fixes, security and hosting help, backups, and changes or new features as your business grows. The people who built it look after it, so there's no ticket queue or starting from scratch.
Usually, yes. If a tool lets other software talk to it, we can connect it. We'll check every tool you use on the call and tell you straight if something can't be done.
It's designed around how they already work, not around a vendor's template. They use the prototype on real jobs before go-live, and we change what doesn't feel right.
Yes. We build remotely for founders in Australia, the US and internationally. The yacht bonus is on the Gold Coast, so it suits Australian clients, but the Collective membership works from anywhere.
